However, like many businesses today, today I have encountered a growing challenge that impacts me and, more importantly, legitimate companies like yours: Caller ID Spoofing.

You might have received a call from me, or perhaps someone contacted you claiming you called them when you clearly didn't. This isn't a mistake, and it's certainly not your fault. It's the unfortunate reality of phone number spoofing, a deceptive tactic used by scammers to trick unsuspecting individuals and businesses.

What is Caller ID Spoofing?

Caller ID spoofing is when a scammer deliberately falsifies the information transmitted to your phone's caller ID display to disguise their true identity. They can make it appear as though they are calling from a completely different phone number – even a legitimate one like yours or ours – to trick recipients into answering the phone and engaging with their fraudulent schemes.

These scam calls often revolve around topics like:

  • "Google Business Verification"

  • "Funding Department offers"

  • "IRS or government agency warnings"

  • "Technical support scams"

The goal is always the same: to gain trust, steal personal or financial information, or trick businesses into making payments or taking actions that benefit the scammer.

The Real Impact on Legitimate Businesses

The consequences of caller ID spoofing extend far beyond a few annoying calls. For businesses like yours, it can lead to:

  • Reputational Damage: When your number is used in a scam, it can erode trust with potential and existing clients. People might become hesitant to answer calls from you, or worse, associate your brand with fraudulent activity.

  • Wasted Time: Dealing with confused or angry recipients of spoofed calls diverts your valuable time and resources away from core business operations.

  • Lost Opportunities: If your calls are being flagged as "spam risk" due to spoofing, legitimate outreach efforts might go unanswered, causing you to miss out on vital connections and sales. In fact, some reports indicate that over 70% of consumers ignore calls from legitimate businesses because they fear they might be scams.

What to Do If Your Business Phone Number is Being Spoofed

If you suspect your business phone number is being used in a caller ID spoofing scheme, it's crucial to take immediate action. Here's a step-by-step guide:

  1. Contact Your Phone Service Provider IMMEDIATELY: This is your most important first step Reach out to your phone carrier (e.g., AT&T, Verizon, T-Mobile, or your Voice over IP (VoIP) provider).

    • Explain that you believe your number is being spoofed. Ask them to investigate.

    • They have tools and and information, including those related to the STIR/SHAKEN framework (a government-mandated system designed to combat spoofing by authenticating calls), that can help identify the source of the spoofing and improve the authenticity of your legitimate outgoing calls.

  2. Report to Federal Agencies: These government bodies are actively working to combat phone fraud and collect data to pursue scammers.

    • Federal Communications Commission (FCC): File a complaint online at fcc.gov/complaints. Choose the "Phone" form and then "Unwanted Calls" as the issue.

    • Federal Trade Commission (FTC): Report the incident online at ReportFraud.ftc.gov. Provide as much detail as possible about the scam calls received or complaints you've gotten.

    • FBI Internet Crime Complaint Center (IC3): If you suspect financial loss or identity theft due to the spoofing, also file a report with the IC3 at ic3.gov.

  3. Update Your Voicemail Message: Consider adding a brief, polite note to your business voicemail greeting explaining that your number may be subject to spoofing, and that any suspicious calls from your number were not made by your business. You can also provide an alternative, verified contact method.

  4. Change Voicemail Passwords: Ensure all voicemail passwords for your business lines are strong and unique to prevent unauthorized access.

  5. Educate Your Team: Make sure anyone who answers the phone for your business is aware of caller ID spoofing and knows how to respond if someone calls claiming you made a suspicious call. They should politely explain the situation and direct callers to the relevant reporting agencies if needed.

  6. Be Vigilant for Other Scams: While spoofing itself is the issue, it can sometimes be a precursor to more sophisticated identity theft or social engineering attacks. Monitor your business accounts for any unusual activity.
